Privacy Policy

This Privacy Policy explains how KKKT Temboni collects, uses, stores, and protects personal information when members, staff, and authorized users access the church management platform and member mobile application.

Effective date: April 19, 2026 Applies to mobile app and web system

Summary

The system supports church administration, member access, worship and promise tracking, pledge and payment records, messaging, and help/support workflows. To operate these services, the platform may process identity details, contact details, member records, financial contribution records, login verification data, and technical logs.

1. Information We Collect

The system may collect and store the following categories of data:

  • Identity and profile data such as name, title, gender, marital status, region, community, church, and date of birth where provided.
  • Contact data such as phone number and email address.
  • Member registration data such as promise number and membership linkage records.
  • Contribution and transaction data such as pledges, promises, offerings, payment method references, payment status, balances, and receipts.
  • Communication data such as SMS records, notification templates, reminder history, and support requests.
  • Authentication data such as OTP request tokens, hashed OTP codes, login attempts, expiration times, and API access tokens.

2. How We Collect Information

Information may be collected directly from church administrators, authorized staff, members using the mobile application, forms submitted on the platform, payment and pledge workflows, help and support submissions, and system-generated activity required for authentication, security, and recordkeeping.

3. How We Use Information

  • To identify members and provide secure access to the member portal.
  • To send one-time passwords for login verification and important service notifications.
  • To manage member profiles, church structure, communities, and administrative records.
  • To process and display pledges, promises, offerings, collections, and payment histories.
  • To generate reports, statements, reminders, and internal operational summaries.
  • To respond to support requests, improve service reliability, and enforce access controls.

4. Mobile App Authentication

The member mobile application uses an OTP-based login flow. When a user requests login, the system verifies the submitted promise number and phone number, generates a temporary one-time code, stores only a hashed version of that code, and sends the code by SMS. OTP requests are time-limited and may be rate-limited to protect against misuse.

5. Payments and Financial Records

The platform keeps contribution-related records to support church administration and member transparency. This may include pledged amounts, promise amounts, collection records, payment references, paid dates, payment methods, balances, and transaction statuses. These records are retained as part of financial accountability and reporting.

6. Messaging and Notifications

The system may send SMS or service communications for OTP login, promise number delivery, reminders, summaries, and other church operations. To support these features, the platform may store the recipient name, phone number, sender ID, message content, delivery state, provider response, and related timestamps.

7. Sharing of Information

Personal data is primarily used within KKKT Temboni and authorized system operations. It may be shared only when required to provide the service, such as with SMS or messaging providers, payment-related service integrations, hosting or infrastructure services, or where disclosure is required by law, regulation, audit, or lawful church governance.

8. Data Security

  • Role-based access and authenticated sessions are used to limit access to authorized users.
  • OTP codes are stored in hashed form rather than plain text.
  • Request throttling, expiry controls, and login attempt limits are used to reduce abuse.
  • Operational logs and transaction records may be kept for troubleshooting, accountability, and security review.

9. Data Retention

Personal data is retained for as long as reasonably necessary to operate the system, maintain church membership and financial records, comply with legal or internal accountability obligations, resolve disputes, support audits, or enforce security and access policies.

10. User Choices and Rights

Members may request correction of inaccurate profile details through authorized church administrators or official support channels. Access, update, restriction, or deletion requests may be reviewed subject to legal, operational, audit, safeguarding, or financial recordkeeping requirements.

Deletion of some records may be limited where the information is required for donation, pledge, promise, payment, audit, fraud prevention, or security history.

11. Children and Family Information

Where the system stores family or dependant records as part of church administration, such information is handled only for legitimate operational, pastoral, or member management purposes and should be entered only by authorized personnel or with proper authority.

12. Changes to This Policy

This Privacy Policy may be updated from time to time to reflect changes in legal obligations, church operations, application features, or third-party integrations. The updated version will be published on this page with a revised effective date.

13. Contact

If you have questions about this Privacy Policy or about how personal information is handled in the KKKT Temboni system, contact the organization using the public support channels on this website.
